About the role
As an Executive Assistant, you will provide administrative support to the Director and other Global Services leaders, including VP support as assigned, helping them stay organized and keep important work moving. You will work closely with colleagues across Global Services and use technology and AI tools to improve everyday workflows.
What you'll do
- Provide administrative support to Director and Global Services leaders, including VP support.
- Manage complex calendars, coordinate meetings, and arrange domestic and international travel.
- Prepare and organize materials for leadership meetings, business reviews, and executive activities.
- Coordinate leadership meetings, workshops, coffee talks, and town halls, including room bookings and meeting notes.
- Create presentations, newsletters, and quarterly business review materials.
- Support administrative projects and track AI tool licenses and related costs.
What you'll need
- 3 or more years of relevant administrative or executive support experience.
- Demonstrated ability to coordinate calendars, meetings, travel, and competing priorities for senior leaders.
- Strong working knowledge of Excel, PowerPoint, and Word.
- Experience using collaboration and administrative tools such as Teams, Zoom, SharePoint, and Concur.
- Excellent organization, attention to detail, and follow-through.
- Ability to work on site at the Santa Rosa office as business needs arise.
Nice to have
- An associate or bachelor’s degree, specialized training, or certification.
- Experience preparing and organizing materials for quarterly business reviews or leadership meetings.
- Experience supporting projects or improving administrative processes.
